URGENT: if you don’t already have insulated spigot covers installed, please do so today

There are still quite a few homes throughout the community that don’t have spigot covers installed. Temps forecasted in single digits tonight and teens next couple of nights. Please take annual precautions prior to the first freeze to prevent damage to your home and avoid being without water as well as potentially damaging your neighbors home. If pipes freeze in your home, the HOA insurance will not cover the damage and you will likely be responsible for damage to your neighbor’s home. It’s a small precaution that could avoid potentially tens of thousands in damage to your home.

Boil Water Advisory should be in effect

To the best of our knowledge, no one has received a boil water notice from Carolina Water Service. It is unclear why they are no longer notifying their customers directly regarding boil water advisories. Hopefully they will ‘fix’ this issue. In the meantime, please be aware that anytime there is an interruption in flow of water to your home due to a water service line break, there is a possibility that pathogens may be introduced into the lines from ground water. Accordingly, precautions should be taken for at least 24 hours after water is restored – particularly if there is an immunocompromised person in your home.

Update on broken water main

Just got off the phone with the CWS Supervisor for our area and here’s the latest info on the water main break. It’s taken longer than anticipated to repair due to complicating factors. The line broke in Zemosa Acres on Chadbourne between Kendale and Chelwood. Roots from a very large tree have grown around the pipe where it broke and they’ve had difficulty getting the roots out of the way to get the broken pipe out and replace it with new pipe. In addition, apparently concrete was poured near or around the break that further complicated the replacement. At this point, they’ve got the old pipe extracted and are in the process of getting the new pipe in place to complete the repair. No estimated time for completion has been provided, but if I get an update before the water is restored, I’ll post any new information at that time.

DISCONNECT HOSES and cover outdoor spigots

If you have covered your spigots for the season, please disregard this message.
Below freezing temps are forecasted this weekend for 48 hours or more with lows in the teens.
If you forgot to install your insulated spigot covers, it would be best to do so asap. Having to deal with burst water pipes over Christmas would make for a miserable holiday (and since plumbers are already hard to find, those with frozen pipes could spend days without water waiting on a plumber to make a repair).
We’re sending another reminder because we’ve noticed some spigots that are still uncovered and some with hoses connected. A connected hose provides a direct path for pipes to freeze inside your home. If hoses need to be connected once freezing temps hit, they should be disconnected after each use to prevent damage to your home until the risks of freezing in Spring have passed.

Guidance for measuring windows for upcoming order

There has been some confusion about how to measure the windows. My apologies, I should have included this information in the original post. We need 3 bits of information for each window. 1. Overall window assembly size 2. Location in house 3. Type of window – casement single, casement double, casement triple, non-operating/picture. Only buildings Q-T are spec’d for hung windows on the front and side and those are hung doubles and hung triples. If your home is not in building Q-T and your windows are hung instead of casement, then you have replacement windows that do not conform to architectural specs and should be replaced to match the appearance of all the other casement style windows in the building.
Windows should be measured from the inside of the outermost casement frame/moulding on one side to the inside of the outermost casement frame/moulding on the opposite side. Please note the location of each window as if you were facing the house from the outside – as in Front/Downstairs/Left or Back/Upstairs/MIddle. Also please note whether the window is a single, double, or non-opening. Attached are photos of each of the three types with arrows representing the measurement needed. If you have a triple window, measure it the same way shown in the double.

Window order update

We’re working directly with the window manufacturer, JeldWen, to get special pricing for those that wish to purchase windows.  Fortunately, the same person that I set the program up with back in 2011 still works for JeldWen.  He has agreed to continue to work with us on special pricing.  Basically how it will work, he said he will source delivery through whichever of his Distributors agree to sell to us with the most aggressive discount and then he will give them special pricing for our order to get us an added discount.

There is additional good news.  Typically JeldWen announces a price increase that takes effect the first week of the year.  He says there has been no price increase announced for the new year.  He did say they could announce one at any time, but he is unaware of one in the pipeline and regardless, if one is announced, there is a 30 day window before price increases take effect.  Since we have already started the process, even if there is an increase, we will have adequate time to complete the order before any price increase could impact pricing quoted for the upcoming order.
That said, we have a bit of a chicken and egg situation in order to get quotes.  He needs to know what windows are needed so he can quote them, but I explained that people want to know the pricing before committing to buying windows.  He understands. 
So if you would like new windows, we need a list of the windows that you would like to have replaced.  Please provide a description of the location of each window and the size (an approximate measurement is fine).  Jason will verify the factory size prior to our placing the order.  
Please note, you are NOT making a commitment to purchase windows by letting us know what windows you would like replaced.  We just need a list for pricing purposes.  I explained to him some folks may elect not to purchase windows if the price is more than they expect.  But also please note, even prior to recent inflation, window pricing has been rapidly increasing and it’s likely future orders will reflect future increases – particularly since this could be the last window order placed through the HOA.  This will be the sixth order we’ve handled and it was originally our hope that by the fifth order, everyone would have new windows.
Please also note, that if you are going to replace windows on the front of your house, all adjacent windows should be replaced – especially in bays or bump outs – replacing one without the others would be visually unappealing.  Plus, there is no guarantee that production specs in the future will be the same, so it may be impossible to get an identical match in the future for adjacent windows.
We ask that everyone be kind and patient through this process.  We do not have staff to facilitate such extra projects so we ask everyone to understand that coordinating such an order for the entire community is very time consuming and not a service that is included in your dues.  The only requirement of the HO Association related to windows is to establish a replacement window specification* – not to source or purchase them – that is up to each individual homeowner.  Even so, we understand how difficult it can be as an individual homeowner to find a supplier and installer for the spec window themselves.  Additionally, we were made aware that in the past, owners have been quoted exorbitant prices with excessive fees for products and installations that we’ve taken upon ourselves to negotiate substantially lower pricing.  You are not under any obligation to buy windows through the Association.  You may source the officially specified windows (they must be metal clad wood, vinyl windows are not permitted) from the Distributor of your choice and arrange for installation by a contractor that is approved by Hardie for installation and arrange for an “in progress” inspection by an HOA contractor to assure the installation has been properly performed so as not to void the siding warranty.  If you choose to arrange for your own installation, you would only be obligated to the Association for the cost of the inspection by the HOA contractor.  If you purchase the windows through the HOA, that cost is included since the installation is already being performed by an HOA contractor.
Regarding installation, Jason knows the requirements to protect the Hardie warranty and has agreed to install the windows.  As before, the priority for installations will be based on the order that we receive payment for the windows.  First paid, first installed.  Based on current production guidelines, we’ve been told to expect the windows to arrive in time for installations beginning in April.  We expect this to be a large order and the installation flow will be based on Jason’s availability.  That said, it is our hope and expectation that all windows will be installed before the end of next year.

REMINDER: Siding Washing starting Mon 10/17-10/19 (Please remove personal items near building prior to Mon morning)

Clean Home Power Washing Co. is scheduled to clean the Hardie siding throughout the community Mon through Wed of next week.  

Please note that they require removal of all personal items near the building in order to perform the cleaning process.

Also please be aware that they will use your water outlet to clean the siding and pressure wash the front sidewalk in front of your home, if applicable.  Some folks have expressed concern about their water being used in the past, but this is the most economical way to do so.  We have been assured that there would be a minimal impact to your water bill. 

Please note that cleaning the siding must be performed by our approved contractor according to Hardie siding specs to assure the warranty isn’t voided by use of unapproved chemicals or cleaning methods.  Should an Owner object to the use of their water, kindly understand that the cost to obtain separate quotes for cleaning, the additional cost of bringing in water tanks and the additional costs for a separate service call to clean your siding would need to be assessed to your account.  For this reason, we have given the contractor permission to use your water outlet, absent objection, since the cost to use your water would be a small fraction of the additional costs and labor to bring in an external water source.  

Also, please be aware that pool contractors may begin work on resurfacing the pool at the same time or shortly after the siding cleaners are on site.  

Additionally, our annual inspection and roof/gutter cleaning will be performed soon, likely in mid-November by Guy Roofing.  They plan to clean the gutters after the leaves have fallen from the trees so that the gutters and downspouts will remain clean as possible until the leaves fall again next year.

3) Water Usage: By signing this agreement, you agree to provide Clean Home Power Washing the right to use an on-site water supply as needed to complete the stated project. If an exterior water supply is required, it will be at an additional charge. It is the customer’s responsibility to make sure the water supply is on and in working order before we arrive. Additional charges will be applied if water is not available.

5) Courtesy: While Clean Home Power Washing is on location and performing work on your property, you are responsible for keeping all children and pets, as well as other individuals away from the work area. Children and pets must be kept off the surface cleaned for at least 8 hours after our work is completed. This is for your safety.  This also gives the finished result and the exterior surface time to dry to ensure a desired result.

8) Removal & Replacement of Deck, Patio, Porch and Driveway Contents: Removal and replacement of grills, deck furniture, planters and any other items are the responsibility of the homeowner. Should we need to remove items from these surfaces, Clean Home Power Washing will not be responsible for any damage, breakage or for storage issues. An additional charge may be applied for time and labor devoted to the removal of these items if there are an excessive amount of items.
